About the Role
Reporting to the Mailroom Supervisor, the Administrative Assistant will be responsible for the sorting and packaging of all incoming mail for entities where Maples and Calder is the Registered Office. Delivering/collecting documents to/from Maples and Calder internally and to/from various government departments as well as the private sectors. Keep record of all mail received to be able to identify date of receipt and whom it came from.
Primary responsibilities are to:
- Collating and sorting of all incoming mail and documents for entities where Maples and Calder is the Registered Office
- Collection/delivery of documents to/from various government departments and private companies
- Distribute all mail to appropriate staff or departments
- Collection of mail from the Post Office
- Check mail trays on all floors
- Maintain record of incoming mail
- Monitor incoming faxes and forward to relevant staff
- Assist with preparation of documents for weekly couriers to foreign offices
- Assist with preparation of by-hand document
- Provide assistance to other departments (Office Services, File Management, Mailroom) during staff shortages or projects
- Assist with shredding when called upon
- Provide assistance for all planned or unexpected emergencies
- Update job knowledge by participating in educational and training opportunities
- Act in accordance with legal, regulatory and internal risk management requirements, including ensuring compliance with policies and procedures
- Manage sensitive and confidential matters and protecting the security of information, data and files
EXPERIENCE
What You Bring

- Working knowledge of administrative procedures, good computer skills, ability to manage administrative processes and procedures
- Good communication skills that display a good level of English, spelling and grammar
- Strong organisation and interpersonal skills
- Great attention to detail with high level of accuracy
- Good understanding of Microsoft Word, Excel and Outlook
- Ability to work cooperatively and effectively with others to enhance great teamwork
- Ability to multi-task and develop a plan to complete projects within deadlines
- Strong attention to detail with the ability to handle multiple projects simultaneously
